Map the customer journey

Choose one concrete case, such as a consultation, trial lesson or beauty service. List what the customer must choose, which slots may be offered and when a request must leave the automated path. Keep a confirmed appointment distinct from a request that still needs team review.

Define services, duration and availability

Record the real duration of each service, breaks, working hours and booking limits. If staff, rooms or equipment are involved, identify which resource makes a slot unavailable. Confirm without hiding conditions

Show the service, date, time, time zone, location or channel and any information the team needs before accepting the booking. If a prepayment or deposit applies, explain it before confirmation and provide a human route for questions.

Treat changes and cancellations as primary cases

Test rescheduling to an open slot, an attempt to move to an occupied slot and a cancellation close to the appointment. Define what happens to the released resource, payment and notification. An automated message does not replace the policy the team must apply.

Use reminders with control

Choose when a reminder is useful and which channel the customer has authorized. Check that it contains the right details and a clear action to confirm, change or cancel. Record replies, failures and requests for a person; a sent reminder is not proof of attendance.

Run an exceptions pilot

Walk through a new booking, a reschedule, a cancellation, an unavailable slot, two near-simultaneous requests and incomplete information. Compare observed behavior with the expected path and check calendar, permissions, notifications, export and current limits before connecting a real calendar or opening every channel.
