Define an actionable lead

Choose one request the team can handle, such as asking about a service or appointment. State who confirms availability and which answers require a person. A conversation is not automatically a sale or confirmed booking.

Capture the minimum useful data

Start with a shared identifier, source channel, request, service interest, last contact and next action date. Add a field only when someone uses it to make a decision. Define access and retention before collecting sensitive data.

Use stages that change the next action

A small pipeline might include new, details to confirm, ready to answer, follow-up, won or closed. Give each transition an owner and observable evidence. If a customer asks to be contacted later, record a date and task.

Prevent duplicates across channels

A customer may return through another channel. Search before creating a record and merge only when identity is sufficiently clear. Document who resolves duplicates and preserve the history behind the decision.

Test the handoff and permissions

MaviBot describes CRM features for conversations, pipelines, lead assignment and automated communication. Confirm the channels, integrations, export and roles available in your account. Pass the human team a summary and confirmed data, not just a notification.

Review a pilot before expanding

Test a new enquiry, a repeat message, an after-hours request, a changed appointment and an opt-out. Check for duplicate records, unowned deals and overdue tasks. Improve the failure paths before adding automation.

Measure workflow quality, not database size

Review time to first action, duplicate records, overdue follow-ups, escalations and manual corrections. Include channel, subscription, integration and maintenance costs. More contacts alone do not prove more revenue.

Questions and answers

Do I need a CRM if I receive only a few messages?

Not always. Start when the team loses context, repeats questions or misses follow-ups, and validate a small workflow first.

Does a CRM turn a message into a sale?

No. It can organize data, stages and tasks; people still validate the need, availability and commercial outcome.
