Define a lead and a deal separately
One person may ask about several purchases. Decide when a conversation creates a contact and when it creates a distinct deal. A training company might keep one company contact with separate opportunities for different courses. This prevents every new message from becoming another unexplained sales record.
Use stages with observable entry rules
Create a small pipeline such as new enquiry, qualified, proposal sent, decision pending and closed. Write the evidence required to enter each stage. A sent proposal needs an actual proposal reference, while closed won needs the agreed business event. Avoid stages that merely describe a salesperson's optimism.
Capture only actionable fields
Start with service interest, contact method, source, owner and next action date. Add a field only when somebody uses it to make a decision.
